Payment, Refund & Cancellation Policy

This policy explains how payments are processed, when refunds may be issued, and the terms that apply to cancellations for both translation and interpretation services provided by JHBRIDGE Translation Services.

Payment Methods

JHBRIDGE Translation Services accepts payments through several convenient methods. Our primary payment processor is Stripe, which supports all major credit and debit cards including Visa, Mastercard, American Express, and Discover. PayPal may also be available for select transactions where applicable. All online payments are processed through secure, encrypted channels to protect your financial information.

For individual clients and standard orders, payment is typically collected via a secure payment link sent by email or through our website checkout. These links are generated through Stripe and allow you to pay using your preferred card or digital wallet. Payment links have an expiration period and must be used within the timeframe indicated.

Enterprise and institutional clients may request invoiced billing arrangements. Invoice payment terms are subject to prior approval by JHBRIDGE and may be offered on a case-by-case basis. Wire transfer is available for enterprise-level engagements, government contracts, and institutional clients where other payment methods are not feasible. Wire transfer instructions will be provided upon request.

All payments are denominated in United States Dollars (USD) unless explicitly stated otherwise in a written quote or agreement. JHBRIDGE does not accept cash, cryptocurrency, or money orders. We reserve the right to modify accepted payment methods at any time with reasonable notice to clients.

Quotes and Pricing

All translation and interpretation services begin with a quote provided by JHBRIDGE. Quotes are valid for thirty (30) days from the date of issue unless otherwise specified on the quote document itself. If a quote is not accepted within this validity period, JHBRIDGE reserves the right to revise pricing based on current rates, availability, and workload.

Translation pricing is determined based on several factors including but not limited to: word count or page count of the source document, the specific language pair involved, the complexity and subject matter of the content (such as legal, medical, technical, or general), the degree of formatting required, and the requested turnaround time. Certain language pairs that involve less commonly spoken languages may carry higher per-word rates due to limited interpreter and translator availability.

Rush and expedited service fees apply when the client requests a turnaround time shorter than our standard processing window. Rush fees are calculated as a percentage surcharge on the base translation or interpretation rate and will be clearly communicated in the quote before work begins. Rush availability is not guaranteed and is subject to translator and interpreter scheduling.

JHBRIDGE maintains minimum charges for both translation and interpretation services. Small documents or short sessions that fall below our minimum threshold will be billed at the applicable minimum rate. This minimum charge reflects the administrative, quality assurance, and operational costs associated with every engagement regardless of size.

Additional fees may apply for services beyond standard translation, including but not limited to: specialized formatting or desktop publishing to match the original document layout, notarization of translated documents, apostille processing and coordination, physical mail or courier delivery of hard copies, and expedited certification. All additional fees will be communicated to the client before work begins and will be reflected in the final invoice.

Invoice and Payment Terms

Unless otherwise agreed in writing, payment is due upon receipt of the invoice. For individual clients and one-time projects, JHBRIDGE typically requires payment before delivery of the final translated document or before a scheduled interpretation session takes place. Pre-payment ensures that resources are allocated and work proceeds without delay.

Enterprise clients, government agencies, educational institutions, and other organizational clients may request net payment terms (such as Net 15 or Net 30) subject to prior written approval by JHBRIDGE. Net terms are granted at JHBRIDGE's sole discretion and may require a credit review or a signed service agreement. Approved net terms will be clearly stated on each invoice.

Late payments may result in the suspension of ongoing work, withholding of completed deliverables, and the inability to place new orders until the outstanding balance is resolved. JHBRIDGE reserves the right to charge a late fee on past-due invoices. If an invoice remains unpaid beyond a reasonable period, JHBRIDGE may engage a collections agency or pursue other legal remedies to recover the outstanding amount.

Clients are responsible for ensuring that invoices are routed to the correct internal department and that payment is submitted by the due date. JHBRIDGE will make reasonable efforts to send payment reminders, but the responsibility for timely payment rests with the client. Any disputes regarding an invoice must be raised in writing within seven (7) days of the invoice date.

Failed Payments and Chargebacks

If a payment attempt fails due to insufficient funds, an expired card, incorrect payment details, or any other reason, JHBRIDGE will notify the client and request an alternative payment method. Repeated failed payment attempts may result in the suspension of the client's account and the withholding of any pending deliverables until payment is successfully processed.

JHBRIDGE takes chargebacks and payment disputes seriously. If a client initiates a chargeback or payment dispute with their bank or credit card company without first attempting to resolve the issue directly with JHBRIDGE, we reserve the right to immediately suspend the client's account, withhold any pending deliverables, and discontinue all ongoing work for that client.

Any fees imposed by payment processors, banks, or card networks as a result of a chargeback may be passed on to the client. These fees are in addition to the original amount owed. Chargeback fees are non-negotiable and reflect costs imposed on JHBRIDGE by third-party financial institutions.

We strongly encourage clients to contact JHBRIDGE directly at contact@jhbridgetranslation.com before initiating any payment dispute. In most cases, billing concerns can be resolved quickly and amicably through direct communication. Filing a chargeback without prior contact may be considered a breach of these terms and may affect your ability to use JHBRIDGE services in the future.

Cancellation Policy

For translation services, cancellations submitted before any work has begun on the project may be eligible for a full refund of any prepaid amount. To cancel, clients must contact JHBRIDGE in writing via email at contact@jhbridgetranslation.com. Cancellation requests are processed in the order they are received, and a confirmation will be sent once the cancellation has been accepted.

If translation work has already commenced at the time of cancellation, the client will be billed for the portion of work completed up to the point of cancellation. JHBRIDGE will provide an accounting of the work performed and the corresponding charges. Any prepaid amount exceeding the charges for completed work will be refunded to the client.

For interpretation services, cancellations must be submitted at least twenty-four (24) hours prior to the scheduled session. Cancellations received prior to this window are eligible for rescheduling or a full refund. Cancellations submitted after the deadline are considered late cancellations and are subject to the fees described in the following section.

Late cancellation fees for interpretation services reflect the fact that JHBRIDGE has already assigned and prepared an interpreter for the session, potentially turning away other engagements. Late cancellation fees are intended to fairly compensate for the interpreter's reserved time and preparation efforts.

No-show fees apply when a client fails to appear for a scheduled interpretation session without any prior notice. In the event of a no-show, the full session fee will be charged. This applies to onsite, phone, and video interpretation sessions equally.

Interpretation No-Show and Late Cancellation

If a client fails to appear for a scheduled interpretation session (a "no-show"), JHBRIDGE will charge the full session fee as quoted. This policy applies regardless of the reason for the no-show, unless an exception is granted at JHBRIDGE's sole discretion. The interpreter has been assigned, has prepared for the subject matter, and has reserved the time block exclusively for the client's session.

Late cancellations -- defined as cancellations made less than twenty-four (24) hours before the scheduled session -- will be subject to a cancellation fee. The cancellation fee is calculated as a percentage of the full session rate and reflects the difficulty of reassigning the interpreter on short notice. The specific percentage will be communicated to clients at the time of booking.

JHBRIDGE recognizes that genuine emergencies occur. Emergency cancellations due to documented medical emergencies, natural disasters, or other extraordinary circumstances will be reviewed on a case-by-case basis. JHBRIDGE is not obligated to waive fees in these situations but will make reasonable accommodations where appropriate. Documentation may be requested to support an emergency cancellation claim.

If the interpreter assigned by JHBRIDGE fails to appear for a scheduled session, JHBRIDGE will make every reasonable effort to arrange an immediate replacement. If no replacement is available, the client will receive a full refund for the missed session. JHBRIDGE's liability in the event of an interpreter no-show is limited to the refund of the session fee and does not extend to consequential damages.

Rush and Expedited Work

JHBRIDGE offers rush and expedited turnaround for both translation and interpretation services, subject to availability. Rush service means that the project will be prioritized and completed on an accelerated timeline compared to our standard processing window. Rush availability depends on translator and interpreter schedules, the volume of the request, and the language pair involved.

Rush fees are applied as a surcharge on top of the standard service rate. The exact surcharge varies depending on the degree of urgency, the size of the project, and the specific language pair. Rush fees will always be clearly communicated in the quote before the client authorizes work to proceed. By accepting a rush quote, the client agrees to the associated surcharge.

Once rush work has begun, the rush surcharge is non-refundable regardless of whether the client subsequently cancels or modifies the project. This is because JHBRIDGE has already reallocated resources and potentially displaced other scheduled work to accommodate the expedited request. The underlying translation or interpretation fees remain subject to the standard cancellation and refund policies described elsewhere in this document.

JHBRIDGE does not guarantee that rush delivery deadlines will be met in every circumstance. While we make every effort to honor expedited timelines, unforeseen circumstances such as document complexity, source material quality issues, or interpreter availability may affect delivery. Rush service represents a best-effort commitment to prioritize the client's work, not an absolute guarantee of a specific delivery time.

Refund Policy

Refund requests are reviewed on a case-by-case basis. JHBRIDGE is committed to client satisfaction and will consider refund requests that are submitted in good faith and supported by a reasonable basis. To request a refund, clients must contact JHBRIDGE in writing at contact@jhbridgetranslation.com with a clear explanation of the issue and any supporting documentation.

No refunds will be issued for completed and delivered translation work that conforms to the original project specifications and quote. Once a translated document has been delivered to the client and meets the agreed-upon scope, the work is considered complete. If the client's needs change after delivery, additional charges may apply for revisions or new work.

If a client has concerns about the quality of a delivered translation, these concerns must be raised within a revision window of ten (10) business days after delivery. Quality concerns submitted after the revision window has closed may not be eligible for a refund or complimentary revision. The revision window exists to ensure that issues are identified and addressed promptly while the project context is still fresh.

Approved refunds will be processed to the original payment method used for the transaction. Credit card refunds are typically processed within five to ten (5-10) business days, though the exact timing depends on the client's bank or card issuer. Refunds for payments made via wire transfer or other methods may take longer to process and may be subject to processing fees imposed by financial institutions.

JHBRIDGE reserves the right to offer alternatives to a monetary refund, such as credit toward future services, complimentary revisions, or a partial refund combined with corrective work. The specific remedy will be determined based on the nature and severity of the issue and will be communicated to the client before any action is taken.

Taxes and Currency

The client is responsible for all applicable taxes, duties, levies, and government-imposed fees associated with the services purchased from JHBRIDGE. Unless explicitly stated otherwise in a quote or invoice, all prices quoted by JHBRIDGE are exclusive of taxes. Depending on the client's jurisdiction, sales tax, use tax, value-added tax (VAT), or other taxes may apply to the services rendered.

All prices, quotes, invoices, and payments are denominated in United States Dollars (USD) unless explicitly stated otherwise in a written agreement between JHBRIDGE and the client. International clients paying from non-USD accounts should be aware that currency conversion fees and exchange rate fluctuations may result in the final charged amount differing slightly from the quoted price. Any such currency conversion fees are the responsibility of the client.

JHBRIDGE does not collect or remit taxes on behalf of clients in jurisdictions where JHBRIDGE does not have a tax obligation. Clients are encouraged to consult with their own tax advisors regarding any tax obligations arising from the purchase of translation or interpretation services.

Subscription Terms

If JHBRIDGE offers subscription-based or recurring service plans, these terms apply to clients enrolled in such plans. Subscription services may include recurring translation packages, ongoing interpretation retainers, or other bundled service offerings. The specific features, pricing, and terms of each subscription plan will be described in the plan details provided at the time of enrollment.

Subscription billing occurs on a recurring basis (monthly, quarterly, or annually, as specified in the plan) and is processed automatically through Stripe using the payment method on file. It is the client's responsibility to ensure that the payment method on file remains valid and current. Failed recurring payments may result in a temporary suspension of subscription benefits until payment is resolved.

Clients may cancel their subscription at any time by contacting JHBRIDGE in writing at contact@jhbridgetranslation.com. Cancellation will take effect at the end of the current billing period. Access to subscription benefits will continue through the remainder of the paid period. No refunds will be issued for partial billing periods unless JHBRIDGE, at its sole discretion, determines that a prorated refund is warranted.

JHBRIDGE reserves the right to modify subscription features, pricing, and terms with reasonable advance notice to subscribers. Continued use of the subscription after such modifications constitutes acceptance of the updated terms. If a client does not agree with the modified terms, they may cancel their subscription before the next billing cycle without penalty.
