Translation Services Terms
These terms govern the translation services provided by JHBRIDGE Translation Services. By ordering or using our translation services, you agree to the terms outlined below.

Scope of Translation Services
JHBRIDGE Translation Services provides professional translation services across a broad range of document types and industries. Our core offerings include general document translation, certified translation for official use, USCIS-compliant translation for immigration filings, and specialized translation for legal, medical, business, and technical content. We work with a wide variety of language pairs and can accommodate both common and less frequently requested languages.
In addition to standard document translation, JHBRIDGE offers localization services, which involve adapting content to be culturally and linguistically appropriate for a specific target audience or market. Localization goes beyond word-for-word translation and considers cultural norms, local conventions, and audience expectations. This service is particularly relevant for marketing materials, websites, software interfaces, and client-facing communications.
JHBRIDGE also provides transcription services, which involve converting audio or video recordings into written text. Transcription may be performed in the source language or combined with translation to produce a written document in the target language. The accuracy of transcription depends on the quality of the audio or video source material, including factors such as background noise, speaker clarity, and recording quality.
Each translation project is assigned to a qualified translator or team of translators with relevant subject matter expertise. JHBRIDGE maintains quality assurance processes that may include editing, proofreading, and review by a second linguist depending on the project requirements and the service level selected by the client.
Source Document Quality
The accuracy and quality of any translation are directly dependent on the quality of the source material provided by the client. JHBRIDGE translates the content as it appears in the source document. If the source document contains errors, ambiguities, inconsistencies, or incomplete information, these issues may be carried into the translated output. JHBRIDGE is not responsible for errors or inaccuracies that originate in the source material.
Illegible, blurry, damaged, faded, or poorly scanned documents may significantly affect the translator's ability to produce an accurate translation. Handwritten documents, documents with heavy annotations, or documents with overlapping text present additional challenges. In such cases, JHBRIDGE may produce the translation with annotations or notes indicating portions of the source that were unclear or unreadable.
It is the client's responsibility to provide source materials that are as clear, complete, and legible as possible. Before submitting documents for translation, clients should verify that all pages are included, that text is readable, and that scans or photographs are of sufficient quality. If JHBRIDGE determines that a source document is not suitable for accurate translation, we may request that the client provide a better copy or clarify specific content before proceeding.
JHBRIDGE may, at its discretion, contact the client for clarification regarding ambiguous content, unclear terminology, or illegible portions of the source document. Timely responses to such inquiries help ensure that the translation is completed accurately and on schedule. Delays in client response may affect the delivery timeline.
Client Responsibilities
Clients are responsible for providing accurate and complete source documents for translation. This includes ensuring that all pages of a multi-page document are included, that the correct version of the document is submitted, and that any supplementary materials (such as glossaries, reference documents, or style guides) are provided at the time of the order.
Upon receiving the completed translation, the client must carefully verify all personal names, dates, addresses, identification numbers, and other critical data before submitting the translated document to any authority, institution, or third party. While JHBRIDGE strives for accuracy in translating this information, transliteration conventions may vary, and the client is in the best position to confirm that such details are rendered correctly for their intended use.
Clients should inform JHBRIDGE of any specific formatting requirements at the time of ordering. This includes requirements related to document layout, font specifications, page dimensions, margin sizes, header and footer content, and any other formatting elements that are important for the client's intended use of the translated document. Formatting requirements communicated after work has begun may result in additional charges or delays.
Clients are expected to communicate any special terminology preferences, industry-specific jargon, or preferred translations for key terms at the outset of the project. If the client has an existing glossary or term base, providing this to JHBRIDGE at the time of ordering helps ensure consistency with the client's established terminology. Failure to communicate such preferences may result in the translator using standard industry terminology, which may differ from the client's preferred usage.
Accuracy and Limitations
JHBRIDGE is committed to delivering translations of the highest quality achievable. Our translators are experienced professionals who work diligently to produce accurate, natural, and faithful translations. However, it is important for clients to understand that no translation is perfect. Translation is an inherently interpretive process, and different qualified translators may produce slightly different renderings of the same source text, all of which may be considered accurate.
Nuances of language, cultural context, idiomatic expressions, and ambiguity in the source text are factors that may affect how a translation is rendered. In some cases, the source language may contain terms or concepts that do not have a direct equivalent in the target language. In these situations, the translator will use their professional judgment to convey the meaning as faithfully as possible, which may involve paraphrasing, providing explanatory notes, or using the closest available equivalent.
Technical, legal, medical, and scientific terminology is translated based on standard usage in the relevant field and target language. If the client requires specific non-standard terminology or has preferred translations for technical terms, these must be communicated to JHBRIDGE before work begins. Otherwise, the translator will rely on established conventions and authoritative references in the subject matter area.
Stylistic preferences, such as tone, formality level, and regional language variations (e.g., European Portuguese vs. Brazilian Portuguese, or Simplified Chinese vs. Traditional Chinese), will be accommodated where possible. Clients should specify any such preferences at the time of ordering. If no preference is stated, JHBRIDGE will use the most commonly accepted standard for the target language and audience.
Revision Window
After delivery of a completed translation, clients have a revision period of ten (10) business days during which they may request corrections to the translation at no additional charge. The revision window begins on the date the final translated document is delivered to the client. Requests for revisions must be submitted in writing to contact@jhbridgetranslation.com and must clearly identify the specific portions of the translation that the client believes require correction.
Complimentary revisions are limited to corrections of translation errors, omissions, or inaccuracies in the translated text relative to the source document. Revisions do not include changes to the source document itself, additional content not present in the original source, or modifications to the scope of the original project. If the client has updated or modified the source document after the translation was completed, any corresponding changes to the translation will be treated as new work and billed accordingly.
Requests for revisions submitted after the revision window has closed may still be accommodated, but may be subject to additional charges at JHBRIDGE's standard rates. JHBRIDGE will inform the client of any applicable charges before proceeding with post-window revisions.
If the client requests multiple rounds of revisions, revisions beyond the initial complimentary round may incur additional charges. JHBRIDGE will communicate any such charges before performing additional revision work. The goal of the revision window is to ensure client satisfaction with the final deliverable while maintaining a fair and sustainable workflow for our translation team.
Certified Translation
JHBRIDGE offers certified translation services for documents that require an accompanying certificate of translation accuracy. Our certification consists of a signed statement by JHBRIDGE affirming that the translation is a true, accurate, and complete rendering of the source document to the best of the translator's knowledge and ability. This certification is commonly required for immigration filings, academic transcripts, legal proceedings, and other official purposes.
It is essential for clients to understand that JHBRIDGE's certification is a professional certification of completeness and accuracy based on the source material provided. It is NOT a government certification, a notarized statement (unless notarization is separately requested and arranged), or an attestation by any governmental authority. JHBRIDGE is not a government-approved or government-designated translation agency, and our certification does not carry governmental authority.
JHBRIDGE does not guarantee that any translated document, whether certified or not, will be accepted by any particular institution, government agency, court, school, employer, embassy, or other third party. Acceptance policies vary widely among institutions and are subject to change without notice. The client is solely responsible for verifying the specific translation and certification requirements of the receiving institution before placing an order.
If a client's certified translation is rejected by a receiving institution for reasons related to formatting, certification language, or other requirements specific to that institution, JHBRIDGE will work with the client to make reasonable modifications where possible. However, JHBRIDGE is not responsible for rejections and any rework to meet institution-specific requirements may be subject to additional charges if the requirements were not communicated at the time of the original order.
No Guarantee of Acceptance
JHBRIDGE Translation Services does not and cannot guarantee that any translated or certified document will be accepted by USCIS, any other government agency, any court, educational institution, employer, embassy, consulate, medical institution, licensing board, or any other third party. Each receiving institution sets its own policies regarding the translation and certification requirements it will accept, and these policies may change at any time without notice to JHBRIDGE or the client.
It is the client's sole responsibility to research and confirm the specific translation, certification, formatting, and documentation requirements of the institution to which they intend to submit the translated document. JHBRIDGE will endeavor to accommodate known requirements when communicated by the client at the time of ordering, but we cannot be held liable for requirements that were not communicated to us or that changed after the translation was completed.
Common reasons for rejection by receiving institutions include but are not limited to: the institution requiring a specific certification format that differs from what was provided, the institution requiring a notarized translation rather than a certified translation, the institution requiring translation by an ATA-certified translator, the institution changing its requirements after the translation was produced, or the institution having internal policies that JHBRIDGE could not reasonably have known about.
In the event that a translated document is rejected, JHBRIDGE will review the rejection and work with the client to determine whether modifications can be made to meet the institution's requirements. Any rework, reformatting, or additional certification efforts may be subject to additional charges depending on the scope of the modifications required.
Formatting Limitations
JHBRIDGE will make best efforts to replicate the formatting and layout of the source document in the translated version. However, due to differences in text length between languages, script directionality, font availability, and other technical factors, the formatting of the translated document may not be an exact replica of the original. Text expansion or contraction is a natural consequence of translation between languages, and layouts may shift accordingly.
Complex layouts that include tables, charts, graphs, images with embedded text, watermarks, stamps, seals, multi-column formats, or intricate design elements may present additional formatting challenges. JHBRIDGE will reproduce these elements to the extent reasonably feasible, but an exact visual match is not guaranteed. Documents with heavy graphic design elements may benefit from additional desktop publishing services, which are available at an additional cost.
Clients who have critical formatting requirements -- such as documents that must match a specific template, meet regulatory formatting standards, or replicate an exact visual layout -- should communicate these requirements clearly at the time of ordering. Providing a template or detailed formatting specifications helps ensure that the final deliverable meets the client's expectations. Formatting requirements communicated after work is underway may result in additional charges or delays.
Names, Dates, and Numbers
The client MUST carefully review all personal names, dates of birth, addresses, passport numbers, identification numbers, case numbers, and any other critical data in the translated document before submitting it to any authority, institution, or third party. While JHBRIDGE takes great care to accurately translate and transcribe this information, the client is ultimately responsible for verifying its correctness in the final deliverable.
JHBRIDGE translates names, dates, and numbers as they appear in the source document. If the source document contains errors in this information, those errors will be carried into the translation. JHBRIDGE does not independently verify the accuracy of personal data in source documents. If the client is aware of any errors in the source document, they should notify JHBRIDGE before translation begins so that appropriate handling can be discussed.
Transliteration of names from non-Latin scripts (such as Arabic, Chinese, Korean, Russian, Japanese, Hindi, and others) into Latin characters may result in variations depending on the transliteration system used. Multiple valid transliterations may exist for the same name. If the client has a preferred or official transliteration of their name (such as the spelling used on their passport or other legal documents), they must communicate this to JHBRIDGE at the time of ordering to ensure consistency.
Date formats may vary between cultures and countries (e.g., MM/DD/YYYY in the United States vs. DD/MM/YYYY in many other countries). JHBRIDGE will use the date format appropriate for the target language and audience unless the client specifies a preferred format. Clients should verify that dates in the translated document are formatted correctly for their intended use.
Notarization and Apostille
JHBRIDGE can arrange for notarization of translated documents where applicable and upon client request. Notarization involves a notary public witnessing the signature of the translator or certifier and affixing their seal to the document. It is important to understand that notarization confirms the identity of the signer; it does not independently verify the accuracy or quality of the translation itself.
Apostille services may be available for documents that need to be authenticated for use in countries that are parties to the Hague Apostille Convention. Apostille authentication is performed by a designated government authority (typically the Secretary of State's office) and is separate from JHBRIDGE's translation and certification services. JHBRIDGE can assist with coordinating apostille processing, but the actual issuance of the apostille is performed by the relevant government authority.
Additional fees apply for both notarization and apostille services. These fees will be communicated to the client at the time of quoting and must be agreed upon before JHBRIDGE proceeds with arranging these services. Processing times for notarization and apostille vary depending on the jurisdiction and the current workload of the relevant authorities. JHBRIDGE will provide estimated timelines but cannot guarantee specific processing dates for services performed by third parties.
Rush Delivery
JHBRIDGE offers rush delivery for translation projects that require faster-than-standard turnaround times. Rush delivery is subject to translator availability, the size and complexity of the project, and the language pair involved. Clients should inquire about rush availability before placing an order if timing is critical.
Rush fees apply to all expedited translation projects and are calculated as a surcharge on the standard translation rate. The specific rush surcharge will be clearly stated in the project quote. By accepting a rush quote, the client agrees to pay the associated surcharge in addition to the base translation fee. Rush surcharges are non-refundable once work has begun, as JHBRIDGE has already committed resources and potentially reprioritized other projects to accommodate the request.
Estimated delivery dates for rush projects represent JHBRIDGE's best-effort target, not an absolute guarantee. While JHBRIDGE makes every effort to meet expedited deadlines, unforeseen circumstances such as unexpected document complexity, source material quality issues, or the need for client clarification may affect the actual delivery time. JHBRIDGE will communicate promptly with the client if any issues arise that may impact the estimated delivery date.
For time-sensitive documents such as court filings with fixed deadlines, immigration submissions, or other documents with non-negotiable due dates, clients should communicate the hard deadline clearly at the time of ordering. JHBRIDGE will assess feasibility and communicate whether the deadline can be met before accepting the rush order.
Delivery and Format
The standard delivery method for completed translations is digital delivery via email or secure file transfer. Translated documents are typically delivered in PDF format for certified translations and in the file format agreed upon at the time of ordering for other translation types. Common file formats include PDF, Microsoft Word (.docx), and other formats as specified by the client.
Physical delivery of translated documents (printed hard copies, original certified translations with wet signatures, or documents requiring physical notarization) is available upon request. Additional fees apply for physical delivery, including printing, packaging, and shipping or courier costs. Delivery times for physical copies depend on the shipping method selected and the destination address. JHBRIDGE is not responsible for delays, loss, or damage caused by third-party shipping carriers.
Clients are encouraged to download and securely store their translated documents promptly upon delivery. While JHBRIDGE maintains copies of completed translations for a reasonable period in accordance with our data retention policy, we recommend that clients keep their own copies for their records. JHBRIDGE is not responsible for providing replacement copies of translations that were delivered and subsequently lost by the client, though we will make reasonable efforts to assist where our records permit.
